Email Tracking
Track when employers open your emails and click your deck links. RoleDeck provides two ways to track email engagement: the "Send Resume" feature and tracking email addresses.
Send Resume Feature
The easiest way to share your deck with built-in tracking is using the "Send Resume" feature:
- Go to your dashboard and find the deck you want to share
- Click the external link icon to open the deck in a new tab
- On the deck view page, click the "Deck Actions" button in the top-right corner
- Select "Send Resume" from the dropdown menu
- Enter the recipient's email address in the modal
- Click "Send" - RoleDeck sends a professional email with your deck link
Automatic Tracking
When you use "Send Resume", RoleDeck automatically tracks:
- Email Opens: When the recipient opens your email
- Link Clicks: When they click the deck link in the email
- Timestamps: When each event occurred
View all tracked emails in your Analytics dashboard under the "Email Engagement" section.
Viewing Email Engagement Data
To see email tracking data:
- Go to your dashboard
- Click "Analytics" in the sidebar
- Select the deck you want to view analytics for
- Scroll to the "Email Engagement" section
- See a table showing all sent emails with open/click status
The Email Engagement table shows:
- Recipient: The email address the deck was sent to
- Sent: When the email was sent
- Opened: Checkmark if the email was opened (green icon)
- Clicked: Checkmark if the deck link was clicked (purple icon)
Tracking Email Addresses
Each job-specific deck also has a unique forwarding email address (e.g., deck-12345@roledeck.io). This email address:
- Automatically forwards all emails to your registered email address
- Helps track which applications are generating responses
- Organizes responses by company and position
- Allows you to see which employers are engaging with your application
Note: Tracking email addresses are for receiving responses, not for tracking opens/clicks. Use "Send Resume" for email engagement tracking.
Finding Your Tracking Email
To find the tracking email for a deck:
- Go to your dashboard
- Find the deck you want the tracking email for
- Look at the deck card - the tracking email is displayed there
- The email format is typically:
deck-[ID]@roledeck.io
Each deck has its own unique tracking email address that you can copy and use for job applications.
How Email Forwarding Works
When someone sends an email to your tracking email address:
- The email is received by RoleDeck's forwarding system
- It's automatically forwarded to your registered email address
- You receive it in your inbox just like any other email
- You can reply directly - replies go back to the original sender
The forwarding is seamless - recipients don't know you're using a forwarding address.
How Email Tracking Works
RoleDeck uses webhook-based tracking for real-time email engagement data:
- When you send: You use "Send Resume" to send an email with your deck link
- Email delivery: The email is sent via Resend (our email service provider)
- Recipient opens: When the recipient opens the email, Resend sends a webhook to RoleDeck
- Link clicked: When they click the deck link, another webhook is sent
- Real-time updates: These events are stored in your database and appear in Analytics
This webhook-based approach means tracking is:
- Real-time: Updates appear as soon as events occur
- Reliable: No API polling or delays
- Accurate: Direct from the email service provider
- Private: Recipients cannot see that tracking is enabled
Email Tracking Best Practices
- ✓Use "Send Resume" for direct outreach to maximize tracking visibility
- ✓Check your Analytics dashboard regularly to see engagement
- ✓Follow up with recipients who opened but didn't click - they may need a reminder
- ✓Use tracking email addresses for job board applications to organize responses
- ✓Keep a record of which emails you've sent and their engagement status
- ✓Remember that not all email clients support open tracking - some opens may not be detected
Privacy and Email Tracking
Important notes about email tracking:
- Email tracking is standard practice in professional email marketing and outreach
- Recipients cannot see that tracking is enabled - it's invisible to them
- Open tracking uses a small invisible image in the email (pixel tracking)
- Some email clients block images by default, which may prevent open tracking
- Click tracking works by redirecting links through RoleDeck's servers
- All tracking data is private and only visible to you in your Analytics dashboard
💡 Pro Tip
Use email engagement data to prioritize follow-ups. If someone opened your email and clicked the link, they're likely interested - consider sending a personalized follow-up message. If they opened but didn't click, they may need more context about why they should view your deck.
