Email Tracking

Use tracking email addresses to monitor when employers open your resume and respond to your applications.

What are Tracking Emails?

Each job-specific deck gets a unique forwarding email address (e.g., deck-12345@roledeck.io). This email address:

  • Automatically forwards all emails to your registered email address
  • Helps track which applications are generating responses
  • Organizes responses by company and position
  • Allows you to see which employers are engaging with your application

Finding Your Tracking Email

To find the tracking email for a deck:

  1. Go to your dashboard
  2. Find the deck you want the tracking email for
  3. Look at the deck card - the tracking email is displayed there
  4. The email format is typically: deck-[ID]@roledeck.io

Each deck has its own unique tracking email address that you can copy and use.

How to Use Tracking Emails

Use your tracking email address when:

Job Board Applications

When applying through job boards (LinkedIn, Indeed, etc.), use your tracking email instead of your personal email. This way:

  • All responses come to your main inbox (forwarded)
  • You know which application the response is for
  • You can track engagement with specific applications

Company Application Systems

When filling out application forms on company websites, use your tracking email in the email field. This helps you:

  • Organize responses by company
  • Track which applications are active
  • Filter and sort responses more easily

How Email Forwarding Works

When someone sends an email to your tracking email address:

  1. The email is received by RoleDeck's forwarding system
  2. It's automatically forwarded to your registered email address
  3. You receive it in your inbox just like any other email
  4. You can reply directly - replies go back to the original sender

The forwarding is seamless - recipients don't know you're using a forwarding address.

Tracking Email Best Practices

  • Use a unique tracking email for each application to better organize responses
  • Copy the tracking email when creating the deck and save it for reference
  • Check your main inbox regularly - forwarded emails appear there
  • Use email filters or labels to organize forwarded emails by tracking address
  • Keep a record of which tracking email corresponds to which application

Organizing Forwarded Emails

To better manage forwarded emails, consider:

  • Email Filters: Create filters in your email client to automatically label or categorize emails based on the tracking email address
  • Folders/Labels: Set up folders or labels for different applications or companies
  • Spreadsheet Tracking: Maintain a spreadsheet linking tracking emails to companies and positions
  • Reply Management: When replying, your email client will use the tracking email as the "From" address - this is normal and expected

Privacy and Security

Important notes about tracking emails:

  • Tracking emails are legitimate forwarding addresses - not fake or temporary
  • All emails sent to tracking addresses are forwarded to your registered email
  • You can reply normally - your replies go back to the original sender
  • Tracking emails are tied to your deck and remain active as long as the deck exists
  • If you delete a deck, the tracking email will stop forwarding

💡 Pro Tip

Create a simple spreadsheet with columns for: Company Name, Position, Deck URL, Tracking Email, Date Applied, and Status. This makes it easy to track all your applications and match responses to the right opportunities.
